Terms of Working

Emma Davis MNCIP, MICIP (Accred), GHR Registered

Welcome

Beginning therapy can feel like a meaningful step. This page outlines how I work so that we begin with a clear, safe, and respectful understanding of our work together. If anything is unclear, please feel free to ask at any time.

I offer psychotherapy and hypnotherapy in good faith, drawing on my training, experience, and professional judgement to support you. Any advice, guidance, or therapeutic interventions offered during our work together are not intended as a substitute for medical, psychiatric, or other healthcScope of Work

are advice. You remain responsible for seeking appropriate medical or specialist support where needed.

Outcomes and Client Responsibility

Therapy is a collaborative process. While I will support you fully, I cannot guarantee specific outcomes or results. Each person’s therapeutic journey is unique, and you remain responsible for your own decisions, actions, interpretations, and how you choose to use what arises from our work together.

Limitation of Liability

To the fullest extent permitted by law, I accept no liability for any loss, damage, or consequences arising directly or indirectly from the psychotherapy or hypnotherapy services I provide.

Client Information

By engaging in therapy, you confirm that the personal information you provide, including your contact details, health information, and any relevant personal history, is accurate to the best of your knowledge. You also agree to share any relevant medical, psychological, cultural, accessibility, medication, or diversity-related information that may support safe and appropriate therapeutic work.

Confidentiality

Your privacy is taken seriously. Everything you share within therapy is treated as confidential.

Confidentiality may need to be broken where there is a serious risk of harm to yourself or others, where safeguarding concerns arise, or where disclosure is required by law.

I also work with a clinical supervisor as part of safe and ethical practice. In these discussions, you will not be fully identified.

Crisis Support

Therapy is not an emergency service. If at any time you feel at risk, unsafe, or in crisis, please contact emergency services (999 or 112) or another appropriate crisis support service. Please do not rely solely on me in an emergency, even if I may be available at that time.

Referrals and Collaborative Working

As part of my duty of care, I may suggest referral to another appropriate professional, therapeutic approach, or complementary support if, in my clinical assessment, I believe this may better support your needs or enhance your therapeutic process. This may include other trauma-specific modalities, medical support, body-based therapies, or other specialist services where clinically appropriate.

Where clinically beneficial, I may also recommend that elements of your support take place alongside other professionals as part of an integrated approach.

With your knowledge and explicit permission, I may share clinically relevant information with another practitioner, therapist, healthcare professional, or support service where this supports safe, ethical, and effective continuity of care.

When working with couples, it may at times be clinically helpful, and always with the knowledge and permission of those involved, for me to liaise collaboratively with an individual therapist or other treating professional involved in either partner’s care where this supports the therapeutic work.

Legal Jurisdiction

My services are governed by and interpreted in accordance with the laws of England and Wales.

Fees and Payment

Session fees are agreed individually before we begin working together.

Sessions are payable in advance unless otherwise agreed.

Payment must be received within the same notice period as your session, as outlined in the cancellation policy below.

If payment is not received within this timeframe, the appointment may be released and offered to another client.

Session fees are based on the setting in which the work takes place. Where sessions are offered in alternative locations or specialist settings, different fees may apply.

Any reduced, transitional, or discretionary rates offered do not create an ongoing entitlement and may be reviewed at any time.

Fees are non-refundable.

Cancellation Policy

All cancellation and payment notice periods are calculated in working days only.

Working days are Monday to Friday and do not include weekends or UK bank holidays. Where a bank holiday falls within a notice period, it is not counted as a working day.

Sessions of up to 50 minutes require a minimum of 48 hours (2 working days) notice.

Sessions of 60 minutes or longer, including 90-minute sessions, require a minimum of 3 working days’ notice.

Sessions of over 90 minutes, including 3-hour intensive sessions, require a minimum of 1 week’s notice.

Full-day or multi-day intensive work requires a minimum of 2 weeks’ notice. Should we agree to engage in this level of work together, you will receive separate written documentation outlining the specific fees, payment terms, and working arrangements relating to that work.

All notice periods are calculated to the exact appointment time. For example, a 10:00 AM appointment must be cancelled before 10:00 AM the required number of working days beforehand.

If the required notice or payment timeframe is not met, the full session fee will be charged.

Discretion and Exceptions

There may be occasions where, at my sole discretion, I choose to offer an alternative appointment rather than apply a cancellation fee.

Any such flexibility is offered as a goodwill gesture and should not be assumed as an ongoing arrangement, precedent, or entitlement for future sessions.

Ending Therapy

You are free to end therapy at any time.

I may also end our work together if I believe this is clinically appropriate, ethically necessary, or in the best interests of the therapeutic process.

Where appropriate, I will discuss this with you and, where possible, support you in finding alternative care.

If we agree that referral to another practitioner would be beneficial, I may share clinically relevant information with your knowledge and permission.

Privacy and Data Protection

I collect personal and health information so that I can work with you safely and effectively.

I store records electronically in secure, password-protected systems, and any cloud-based services I use are GDPR-compliant.

Records are retained for five years following your final session, or until age 25 if this is longer, in line with professional requirements.

I will not share your information without your consent unless there is a risk of harm, a safeguarding concern, a legal requirement, professional supervision, or referral to another practitioner where appropriate.

You have the right to access your personal data, request corrections to factual inaccuracies, and request deletion after the required retention period.

I am the data controller for your information.

Concerns and Complaints

If you have any concerns about your therapy or how I handle your personal information, I encourage you to raise this with me directly in the first instance.

If we are unable to resolve your concerns informally, you may contact the National Council of Integrative Psychotherapists complaints service.

Review of Fees and Terms

I review my fees, policies, and terms of working periodically to ensure they continue to reflect the needs of my practice, professional development, and the services I offer.

The most current version of these terms will always be available on my website, and clients are responsible for reviewing them periodically to remain informed of any updates.

Fees are typically reviewed annually. Any changes to fees relating to ongoing therapeutic work will be discussed directly and agreed in advance.

I reserve the right to update these terms of working at any time.

Agreement

By proceeding with booking and attending sessions, you confirm that you have read, understood, and agree to these Terms of Working.
